Privacy Policy update — competency test practice

The Privacy Policy gains a clause for competency test practice (where offered): what it stores and why, how long it is kept, and what is sent to OpenAI (United States) when you ask for detailed feedback.

Until the effective date the current Privacy Policy applies. From that date the wording below appears in the Privacy Policy itself.

3-4. Competency Test Practice (Where Offered)

What we collect: when you use competency test practice, we store the following in your account: (1) your answers to the work-style questions; (2) the options you choose in the reasoning and situational-judgement questions; (3) the order you enter in the sequence-memory task; (4) your written answers to the interview-style questions; (5) the time spent on each question, as measured by your browser; (6) the attempt record (the course, question set and mode you chose, and the start, save and submission times) and the result report (scoring and per-area summaries and, if you ask for it, the detailed feedback with the model that wrote it and when). We do not collect video or audio.

Why we use it: to score your practice and show the result report, and, when you ask, to write the detailed feedback. The basic scoring and result report are produced on our servers without an external AI. Our legal basis is the performance of our contract with you (Art. 6(1)(b) GDPR). We do not use these records for advertising or marketing, and we do not give them to AI providers for training their models.

How long we keep it: attempt records and result reports, including any detailed feedback, are kept until you delete your account and are deleted with it. To have them deleted earlier, ask us as described in Section 7. The usage log for detailed feedback (feature, model, time and cost) is kept with your account identifier replaced by an irreversible hash, as described in Section 6.

Processors and international transfers: · OpenAI, Inc. (United States): writing the detailed feedback. Only when you ask for it on the result report, we send over an API call the questions of that attempt with their reference answers and explanations, the answers you chose or wrote (written answers up to the first 1,600 characters per question), whether each answer was correct, and the per-area results (counts of answered and correct questions and their summary sentences). We do not send your name, email, account ID, the attempt ID or the time spent. Written answers are sent exactly as you wrote them, so we suggest leaving names and contact details out of them. Detailed feedback uses OpenAI only; if processing fails, nothing is sent to another provider. · Turso (a United States company; servers in the Tokyo region of Japan): storing the attempt record and the result report. The safeguards for these transfers and how to decline them are set out in Section 5. If you do not ask for detailed feedback, nothing is sent to OpenAI, and you can still use the practice and the basic result report.

· Competency test practice detailed feedback (where offered): OpenAI (API) — only when you ask for it, analyzes the questions of that attempt, the answers you chose or wrote (written answers up to the first 1,600 characters per question) and the per-area results to write the detailed feedback. Section 3-4 lists what is and is not sent.

If you ask for detailed feedback on competency test practice, the questions of that attempt with their reference answers and explanations, the answers you chose or wrote (written answers up to the first 1,600 characters per question), whether each was correct and the per-area results are transferred to OpenAI. Your name, email and account ID are not transferred.

Before this change: the Privacy Policy had no clause on competency test practice, and neither the processors section nor the international transfers section listed it.
